Visaprep Agent helps users prepare for visa interviews and application workflows. It does not make immigration decisions, submit filings on your behalf, or replace legal advice from a qualified professional.

1. Overview

This Privacy Policy explains how Visaprep Agent handles personal information when you use our AI-assisted visa preparation tools, including practice interviews, coaching, document workflows, account management, and billing features.

This notice is designed for global users. If the privacy or consumer law in your country gives you additional protections, we will honor those rights to the extent required by applicable law.

Visaprep Agent is a preparation and education product. It is not a government authority, embassy, consulate, law firm, or substitute for professional immigration counsel.

2. Information we collect

  • Account and profile information, such as your name, email address, login details, visa category, preparation stage, and preferences.
  • Visa-preparation information that you choose to provide, including application details, mock-interview answers, uploaded documents, notes, and checklists.
  • Session content and AI interaction data, such as prompts, transcripts, voice session metadata, coaching feedback, and product usage events.
  • Payment and subscription information from payment processors such as Stripe or PayPal, including plan type, billing status, and transaction confirmations. We do not store full payment-card numbers.
  • Technical and device information, such as IP address, browser type, approximate location derived from network data, cookie identifiers, crash logs, and diagnostic events.
  • Information from third parties when you use sign-in integrations or connected services, such as Google login details or support-tool conversation history.

3. How we use your information

  • To create and manage your account, authenticate you, and provide the core Visaprep Agent service.
  • To personalize interview practice, readiness scoring, reminders, and content recommendations based on your visa type and stage.
  • To operate AI, voice, and document-analysis features and return coaching outputs that are relevant to your preparation goals.
  • To process subscriptions, prevent fraud, maintain service security, investigate misuse, and enforce our policies.
  • To communicate with you about support issues, product changes, policy updates, and optional marketing where permitted by law.
  • To improve the quality, reliability, and safety of our service using aggregated or de-identified analytics and operational insights.

5. Cookies, analytics, and AI processing

  • We use cookies and similar technologies to keep you signed in, remember preferences, measure product performance, and secure the platform.
  • Where required by law, we will ask for consent before using non-essential cookies or similar trackers and provide a way to manage those preferences.
  • Certain features send prompts, transcripts, and related metadata to AI or voice-processing providers so that interview simulations, summarization, and coaching feedback can function.
  • Visaprep Agent does not use AI to make legal or similarly significant decisions about you. Human judgment is required for all real-world immigration or visa actions.

6. How we share information

We share personal information only as reasonably necessary to run the service, comply with law, or protect users and the platform.

  • We use service providers such as Supabase for authentication and storage, Stripe/PayPal for payments, LiveKit for live voice sessions, and Google/OpenAI providers for AI coaching responses.
  • Infrastructure, database, hosting, authentication, and communication providers that help us operate the service.
  • AI, voice, transcription, and analytics providers that process prompts, transcripts, or metadata in order to deliver requested features.
  • Payment providers and fraud-prevention partners that help process subscriptions, taxes, and charge disputes.
  • Professional advisers, auditors, regulators, courts, or law-enforcement bodies when disclosure is legally required or reasonably necessary to protect rights and safety.
  • A buyer, investor, or successor entity in connection with a merger, reorganization, financing, or sale of all or part of our business.
We do not sell your personal information. We do not share personal information for cross-context behavioral advertising where prohibited by law.

7. International data transfers

Because Visaprep Agent serves users in multiple countries, international data transfers may occur when personal information is processed by us or our vendors in other jurisdictions.

When required, we use appropriate safeguards for international data transfers, such as contractual protections, vendor due diligence, and security controls designed to protect your information when it crosses borders.

8. Data retention and security

  • We keep personal information only for as long as reasonably necessary for the purposes described in this policy, including service delivery, account administration, legal compliance, dispute resolution, and security review.
  • Retention periods vary depending on the type of data, your subscription status, the sensitivity of the material, and whether legal obligations require longer storage.
  • We use administrative, technical, and organizational safeguards designed to reduce the risk of unauthorized access, disclosure, alteration, or loss. No internet-based service can promise absolute security.
  • Please avoid uploading unnecessary sensitive personal data and redact information where possible unless it is required for your own preparation workflow.

9. Your privacy rights

Depending on where you live, your privacy rights may include the right to access, correct, delete, restrict, object to, or port certain personal information, as well as the right to withdraw consent where processing is based on consent.

Users in the EEA, UK, and similar jurisdictions may also have the right to object to certain processing and to lodge a complaint with a supervisory authority. California and other U.S. state residents may have rights to know, delete, correct, and appeal certain data-handling decisions.

You may also have the right to appeal a privacy decision, opt out of certain marketing communications, or lodge a complaint with your local supervisory authority.

10. Children, updates, and contact

  • The service is intended for adults and is not directed to children under 18.
  • If you upload information about a family member, sponsor, employer, or other third party, you are responsible for ensuring that you have the right and any necessary consent to do so.
  • We may update this Privacy Policy from time to time. If material changes are made, we will update the effective date and provide notice where required by law.
